This Privacy Policy explains how Callora AI collects, uses, discloses, and protects information in connection with www.callora-ai.com, live demonstrations, onboarding, customer accounts, AI voice receptionist services, call-handling workflows, and related services (“Services”).
2. Information We Collect
We may collect: contact and account information; business information and workflows; selected plan, invoices, payment status, and limited payment metadata; caller and communications information such as caller name, phone number, reason for call, service-request details, appointment requests, lead information, summaries, and routing outcomes; audio, recordings, or transcripts only when relevant features are enabled; device, browser, IP, log, and usage data; support correspondence; and information from customer-authorized integrations or service providers.
3. How We Use Information
We may use information to provide and configure Services; answer and route calls; capture caller information; create summaries and notifications; process orders and payments; onboard customers; authenticate users; support customers; maintain security; prevent fraud and abuse; troubleshoot; measure performance; improve workflows; comply with law; enforce agreements; and communicate about the Services. We may use de-identified or aggregated information where permitted by law.
4. AI Processing
AI and automated systems may process Customer Content and caller-provided information to support voice interactions, interpret requests, generate responses based on configured information, summarize calls, and support routing or workflows. AI outputs can be inaccurate; customers should configure human review, fallback, and escalation for sensitive matters.
5. How We Disclose Information
We may disclose information to service providers supporting telecommunications, hosting, AI processing, analytics, security, CRM, messaging, payments, integrations, and professional services; at a customer’s direction; to comply with law; to protect rights and security; in a corporate transaction; or with consent. We do not claim that data is never shared because providers may need information to deliver the Services. We do not sell personal information for money as part of our ordinary business model. If practices change, this Policy will be updated and legally required choices provided.
6. Payments
Third-party payment processors may handle payments. Callora AI may receive transaction status, payment-method type, limited account details, billing information, and authorization records while full card or bank credentials may be handled directly by the processor. ACH or bank-debit payments may require verification and acceptance of a mandate authorizing one-time or recurring debits.
7. Recording and Consent
Do not assume every call is recorded. Where recording, transcription, or monitoring is enabled, applicable notice and consent requirements must be addressed. Customers remain responsible for their own obligations concerning callers, employees, and jurisdictions where they operate.
8. Cookies and Similar Technologies
We may use cookies, local storage, pixels, SDKs, and similar technologies for essential functionality, preferences, security, analytics, and performance. Where required, consent or choices will be provided.
9. Data Retention
We retain information as reasonably necessary to provide Services, maintain business and transaction records, resolve disputes, enforce agreements, meet legal obligations, and protect security. Periods vary by data type, configuration, legal requirements, and operational need. Some information may remain where required or permitted for law, security, backup integrity, disputes, or recordkeeping.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, and absolute security cannot be guaranteed. Customers are responsible for their credentials, devices, integrations, and downstream systems. Where Kansas law applies, Callora AI will address applicable Kansas data-security and breach-notification obligations, including legally required notices following qualifying security breaches.
11. Privacy Choices and Requests
Depending on applicable law, individuals may have rights to request access, correction, deletion, portability, restriction, or information about processing, and in some cases to appeal. Rights are subject to verification and legal exceptions. Kansas residents also retain any non-waivable rights and remedies available under applicable Kansas law, including applicable consumer-protection and data-security laws. Requests may be sent to jwhite.callora.ai@gmail.com. If Callora AI processes information solely for a business customer, the request may be directed to that customer.
12. Customer-Controlled Data
For some caller and workflow data, Callora AI may process information on behalf of a business customer. The customer’s own privacy notice may also apply. Callers should contact the relevant business regarding that business’s data practices.
13. Children
The Services are not directed to children under 13, and Callora AI does not knowingly collect personal information directly from children under 13 through the website for their own use of the Services. Contact us if you believe such information was provided improperly.
14. International Use
Callora AI is based in the United States. Cross-border access or transfers may be subject to different laws. Customers should not deploy the Services in jurisdictions requiring additional measures without confirming requirements.
15. Third-Party Services
The Services may link to or integrate with third parties. Their privacy practices are governed by their own notices.
16. Changes
We may update this Policy for changes in practices, technology, law, or Services. The updated version will show a new effective date and additional notice will be provided when legally required.
